Recurring access delivery created too much manual work.

The workflow required checking GCash receipts, approving memberships, sending a current Canva invitation, repeating delivery every seven days, and preventing one invitation URL from being overused.

The system needed to automate repeatable work without treating receipt screening as final payment verification.

A controlled path from payment submission to recurring delivery.

  1. SubmitAn applicant selects a configured GCash account and uploads a receipt.
  2. ScreenThe browser screens the receipt while the administrator verifies the transaction.
  3. ApproveApproval activates or renews the member and queues the first email.
  4. ScheduleActive members become due again every seven days.
  5. Control capacityEach invitation URL stops at 95 successful deliveries.
  6. Queue safelyMembers wait in FIFO order until a new usable link is available.

Automation with clear trust boundaries.

Application and data

Next.js handles the public and administrative interfaces. Supabase stores schedules, invitation links, delivery records, queue state, and private receipt uploads with Row Level Security.

Delivery and scheduling

Resend delivers personalized emails, while a daily Vercel Cron process checks due members, link capacity, and waiting queues.

Operational controls

Manual approval remains required before activation. Link history and delivery records keep automation decisions visible.

Next iterations would strengthen delivery observability, clarify receipt-review reasons, and add admin analytics for queue age, delivery failures, and link utilization.
